Who we are

This policy explains how RAJ Property Consultants NI Ltd (“RAJ”, “we”, “us”) collects and uses personal data, and the rights you have. We are the data controller for the personal data described here. Our registered address is Office 1957, 92 Castle Street, Belfast BT1 1HE, and you can contact us about privacy at rajpropertyconsultantsni@gmail.com.

The personal data we collect

The information we hold depends on how you interact with us. It can include:

Students and their families

Name, email address, phone or WhatsApp number, date of birth where a provider requires it, university and course, accommodation preferences, budget and move-in dates, and details relevant to a booking or referral — such as guarantor or payment information the provider needs.

Landlords and property owners

Contact and identity details, details of the property, information about your ownership of or authority to let it, any compliance documents you upload, and commercial information relevant to listing the property.

Partners and agents

Your organisation and contact details, your website or social media profiles, and the information used to track referrals and any referral commission.

Reviews and testimonials

The review or rating you leave, any photos or videos you submit, records of your consent to publish, and any reward or payment details where a reward applies.

Waiting lists

The property or room type you are interested in, your contact details, and your availability and preferences.

Identity and Right to Rent information

Where the law or a provider requires it, we may need to see identity or Right to Rent documents. If we introduce a dedicated process for this, that information is handled as a separate, more tightly controlled category — kept securely, only for as long as needed, and shared only where necessary.

Why we use your data and our lawful basis

We use personal data to respond to enquiries and referrals; to help you find, understand and book accommodation; to pass relevant details to an accommodation provider you are interested in; to run our referral, cashback, review and waiting-list features; to meet our legal obligations; and to improve and secure our website. Depending on the activity, our lawful basis is one or more of the following: your consent (which you can withdraw at any time); the performance of, or steps towards, a contract or arrangement with you; our legitimate interests in running and improving our service in a way that does not override your rights; and compliance with a legal obligation.

Who we share it with

We share personal data only where it is needed for the purpose it was collected: with the accommodation provider of a property you are interested in; with the service providers who process data on our behalf (see below); and where we are required to by law. We do not sell, rent or trade your personal data to third parties for marketing purposes.

Processors and technology providers

We use trusted technology providers to run our service — for example website and database hosting, and messaging and communication tools. They process personal data on our instructions and under agreements that require them to keep it secure and to use it only for the services they provide to us.

How long we keep it

We keep personal data only for as long as we need it for the purpose it was collected — for example to help you find and secure accommodation, to administer a referral or reward, or to meet a legal obligation — after which it is deleted or anonymised. Any identity or Right to Rent information is kept only for as long as needed and then securely deleted.

International transfers

Where a provider we use stores or processes data outside the UK, we take reasonable steps to make sure it is protected by appropriate safeguards that meet UK data protection standards.

Cookies & analytics

Analytics cookies are set only if you accept them via the cookie banner shown on your first visit. If you accept, we use Google Analytics 4 to understand anonymous usage of the site — things like which pages are visited and roughly how — so we can improve it; we do not use this to identify you personally.

Declining changes nothing about how the site works for you — every page, form and feature functions identically either way. You can change your mind at any time by clearing your browser's site data for this website, which removes the stored choice and shows the banner again on your next visit. You can read more in our Cookie Policy.

Your rights

You have the right to ask us for a copy of the personal data we hold about you, and to ask us to correct it, delete it, restrict how we use it, or object to how we use it. Where we rely on your consent, you can withdraw that consent at any time — this does not affect anything we did before you withdrew it. To exercise any of these rights, email us at rajpropertyconsultantsni@gmail.com and we will respond within the time the law allows.

Complaints and the ICO

If you are unhappy with how we have handled your personal data, please tell us first so we can try to put it right — see our Complaints Procedure. You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk.
